SUMMARY
Bell Canyon Association is a self-managed HOA with over 750 homes. The Assistant General Manager will support the General Manager by performing various aspects essential to the basic operation of the association including supervision of the front desk staff, third party vendors, and resident services. This person serves as second in command at all times and often acts as Manager on Duty in the absence of the General Manager.

Administrative
• Perform all administrative tasks to ensure the smooth operation of the office.
• Take minutes of the board and committee meetings.
• Order and maintain supplies and arrange for equipment maintenance.
• Assist General Manager with Action List items and updates.
• Maintain vendor files and insurance certifications.
• Prepare and monitor non-compliance letters, hearing and decision notices.
• Other duties as requested by General Manager.
Architectural Review
• Act as the lead on Architectural submissions in conjunction with the Architectural Committee.
• Interact with homeowners, communicate status and prepare letters throughout the process and monitor the progress of construction.
• Manage architectural deposits and refunds of the same.
Member Services/Hospitality
• Respond to and addresses resident concerns and complaints.
• Supervise and train office staff under the direction of General Manager.
• Back up the front desk staff when required.
Accounting
• Coordinate with financial management company in the preparation of all documents relating to billing, collection, budget, taxes, audit, and financial statement preparation.
• Analyzes financial reports, coordinate input of professional advisors, and implements recommended procedures.
• Complete accounts receivable and charge forms, amenity rentals, access devices and checks received onsite.
• Monitor and report to the General Manager homeowner assessment delinquencies and oversee liens, foreclosures and collection efforts made to collect delinquent homeowner assessments.
• Receive and process invoices for GM approval. Verify accuracy of invoices and statements received.
• Supervises expenditures to conform to budget guidelines.
• Research past due balances on invoices and statements.
Miscellaneous
• Conduct and document periodic interior and exterior inspections of the common areas.
• Ensure all Civil Code, State and City statutes and ordinances, and legal document requirements are met such that the Board of Directors and Association remain in compliance. Qualifications
• At least 5 years of homeowner’s association management experience including leadership, accounting practices and policies and procedures as it relates to members architectural submissions.
• Experience managing staff with experience in HR practices.
• Knowledge of accepted management practices and procedures; building and grounds maintenance requirements; personnel development and administration; and budget and finance.
• Ability to follow through on long-range, job-related assignments, meet deadlines and operate within budget constraints.
• Ability to relate effectively with Board members, Association members, vendors, and employees; and resolve conflicts and problems expeditiously, courteously, and tactfully.
• Polished and professional communication and presentation
• Must be able to occasionally attend functions and work a flexible schedule that may include days, evening, weekends, and holidays.
• CCAM and/or other related industry designation is preferred.
Availability: Regular business hours and must be available for Board meetings after regular business hours, as necessary.
